NOT THE COMFORT ZONE
Privacy notice

Your information

This notice explains how Not The Comfort Zone (NTCZ), operated by Spencer Timson, uses personal information when you enquire about coaching, complete a Meta lead form, book a conversation or contact us directly.

Who is responsible for your information?

The data controller is Spencer Timson, trading as Not The Comfort Zone (NTCZ). You can contact us about your personal information at contact@ntcz.co.uk.

What information may we collect?

When you make an enquiry, we may collect information such as:

Please do not send medical records or detailed health information through advertising lead forms. If health information later becomes relevant to coaching, it will be handled separately and only where appropriate.

How we use your information

Our lawful basis

We normally process enquiry information because it is necessary to take steps at your request before entering into a coaching agreement, and because we have a legitimate interest in responding to genuine enquiries and managing our coaching business.

We will not add you to unrelated promotional email lists simply because you submitted a coaching enquiry.

Services we use

Your information may be processed through services we use to receive enquiries, communicate and manage bookings. These may include Meta (Facebook and Instagram), TidyCal, email, telephone and WhatsApp. These providers process information under their own terms and privacy arrangements as well as, where applicable, on our behalf.

How long we keep enquiry information

If you make an enquiry but do not become a client, we will normally keep the enquiry information for up to 12 months so that we can manage follow-up and understand previous contact. We may delete it sooner where it is no longer needed or if you ask us to do so and there is no legal reason to retain it.

If you become a client, relevant records may be retained for longer where needed to provide the service or meet legal, accounting and professional obligations.

Sharing your information

We do not sell your personal information. We only share it where necessary to operate the services above, to provide coaching, to comply with the law or where you have asked us to do so.

Your rights

Depending on the circumstances, UK data-protection law gives you rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, portability of certain information, or to object to particular uses.

To exercise a right, email contact@ntcz.co.uk.

Complaints

If you have concerns about how your personal information is handled, please contact us first so we can try to resolve them. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
